Life Safety
All meeting requirements, including registration and special set-ups, must meet the guidelines of existing fire codes and ordinances of the town of Greenwich.
To facilitate this we require a copy of all diagrams and floor plans to be submitted at least 60 days prior to your meeting.
Signage / Public Areas
Organizational signage to be used in the public areas of The Hyatt Regency Greenwich must be professionally printed . Material and/or merchandise may not be
displayed in any pre-function or public area of the hotel without prior permission of the Convention Services Department.
Electrical Requirements / Banner Hanging
The hotel can fulfill practically any type of electrical power requirements given proper advanced notice. Applied charges for both electrical power
and banner hanging may be discussed with your Convention Services Manager.
Liability/ Security
Hotel cannot be responsible for the safe keeping of equipment, displays, supplies, written materials or of the valuable item or items left in the
meeting rooms, conference areas, etc. Accordingly, you will be responsible to provide security for such material and therefore assume responsibility
for any loss or damage.
Audiovisual
A complete line of audio-visual equipment is available through the Hotel's on-site audio-visual company, AVT. If a third party audio
visual provider is contracted to do work on our premises, it is the obligation of Group to notify Hotel in advance in order for said party
to have time to review, approve, sign a separate hold harmless agreement authorizing their work on our property. Patch Fees will apply.
All hotel guests that use LCD projectors of any kind not supplied by the hotel will be subject to a right to use fee of $100 per projector per room per day.
For such fee, AVT will provide assistance with the projector set-up. All additional audiovisual products utilized with the guest provided LCD
projector will be charged at prevailing rental rates. AVT and the hotel are not responsible in any way for the performance and image quality of
LCD projectors or other audiovisual equipment not provided by AVT.
Fire Watch
Depending on capacity of meeting room and occupancy codes, CT State Law may require a Fire Watch from the Greenwich Fire Department
If it is required; Fire Watch is at the Group's expense. A Traffic Detail may be required from The Greenwich Police Department based upon
the number of guests attending the event. If it is required, Traffic Detail is at the Group's expense.
Shipping & Receiving
Special arrangements must be made for receiving any equipment, goods, displays or other materials that will be sent, delivered or brought
into the hotel. Failure to do this may result in deliveries being refused or materials being unavailable when required. The hotel does not
accept any liability for equipment, goods, displays which arrive or fail to arrive at the hotel. The group is responsible for insuring its
property for loss or damage.
Handling charges will apply depending on size and weight of items being received and moved. The Hotel recommends that for shipments over 100 pounds
total an alternative freight handling company be contracted by the sender.
Oversized boxes of 4' x 4' or larger will be billed at $10.00/box. Oversized boxes do not count towards the 5 complimentary boxes to be received.
